Administrative Assistant – Financial Services

About:

Our client is seeking a Administrative Assistant to join their growing and well established financial services firm in Holmdel, NJ. This position requires a motivated Administrative professional with strong interpersonal and multitasking skills.

Responsibilities:

Support VP in Holmdel, NJ office

Answering phones/taking messages

Booking domestic and international travel/hotel/car services/rental cars for VP

Prepping conference room/dial in for all conference calls/conferences (where applicable, both in person and telephone conferencing)

Heavy calendar management (partner’s calendars), setting up meetings and sending out invites to clients, making reservations.  Tracking everything in their calendar and confirming any and all reservations

Creating PowerPoint presentations and preparing meeting materials

Booking conference rooms as needed

Taking care of VP’s needs day to day, including internet usage when necessary (such as ordering tickets, gifts for clients, researching restaurants, etc.)

Creating Fed Ex labels when necessary – www.fedex.com

 

Qualifications:

1-3 years+ experience as a support professional

Associates Degree or 4 year degree, preferred.

Proficient in Microsoft Office
