Administrative Assistant / Office Manager

About the Company:

Our client are one of the world’s leading investment firms with $500 billion in assets under management.

Responsibilities:

  • Calendar management; scheduling appointments, confirming meetings and coordinating with other assistants, outside vendors, and Sell-Side brokers
  • Answering calls and acting as gatekeeper
  • Booking conference rooms for internal and external meetings; coordinating registration and greeting guests
  • Completing detailed expense and out of pocket reports including tracking receipts and project codes
  • Coordinate third party vendors (HR, IT, Legal etc) in relation to Portfolio Companies
  • Maintaining contacts in Outlook
  • Coordinating travel arrangements including flights, visas, cars, hotels, and other reservations
  • Maintaining and updating excel sheet trackers
  • Maintaining and organizing files, office supplies, etc
  • Coordinate with Facilities/Office Services/Pantry Services etc for full floor
  • Coordinate with Reception and oversee projects assigned to the Receptionist
  • Working on various ad-hoc projects

Requirements:

  • Must have 3 – 5 years of administrative or office coordination experience preferably in a financial services setting
  • Experience in supporting a team handling confidential and sensitive information
  • Thrives in a multi-task environment where there are competing priorities and deadlines/deliverables
  • Ability to remain poised and calm under pressure
  • Strong communication skills both verbal and written
  • Highly organized with strong attention to detail
  • Team player – energetic, enthusiastic and personable

Compensation & Benefits:

  • Role will pay a base salary between $70,000 – 80,000
  • Role will also be eligible for overtime and bonus
  • Highly competitive benefits package
