About the Company: 

Our client is a real estate investment firm with over $4.3 billion in AUM. They have offices around the world with projects in the residential, commercial, industrial, and hospitality spaces. The Administrative Assistant will be a blended role responsible for all admin tasks for the firm’s finance team and also for the firm’s NYC office.

 

Responsibilities: 

  • Meeting coordination and calendaring
  • Work with the firms travel agent to facilitate travel arrangements for team members
  • Acts as a liaison between finance team members and expense coordinator to provide receipts and allocations for expense reimbursement
  • Coordination of CFO’s signature for various corporate documents
  • Act as the administrator for Concur and Replicon and maintain a user list
  • Work with Tax Director to gather employee work locations for filings
  • Assist treasury analyst in bank account openings as well as entity maintenance process
  • Assist in the booking of firm sponsored events
  • Schedule vendors for repairs and service maintenance for the office
  • Purchase necessary office supplies

 

Requirements: 

  • Bachelor’s degree required
  • 2-4 years of admin or office management experience
  • Advanced Microsoft Office skills
  • Strong organizational, project management, and problem-solving skills
  • Notary License preferred

 

Salary Range: 

$90,000-$110,000
