Administrative Assistant

About the Company: 

Our client is a real estate investment, development, construction, and asset management firm operating on a national scale. The Administrative Assistant will support the leadership team at the NYC office.

 

Responsibilities: 

  • Answer, screen, and route phone calls, including phoned-in tenant requests and tenant issues
  • Provide regular operational support to all office employees
  • Serve as a gatekeeper to ensure timely and appropriate management of all inquiries
  • Welcome all in-office visitors and manage/sort all incoming and outgoing mail and deliveries
  • Manage all aspects of the NYC office, including ordering office supplies, snacks, and working with our cleaning company to ensure a well-maintained office
  • Call and schedule interviews for prospective tenants to fill vacant units
  • Maintain and update various databases such as tenant, vendor, and insurance listings
  • Monitor the technology inventory and manage repairs with external IT vendor
  • Help plan and promote company events ranging from occasional team lunches to planning the firm’s annual company holiday party

 

Requirements: 

  • Bachelor’s degree preferred
  • At least 2 years of office management experience
  • Proficiency with Microsoft Office Suite
  • Strong organizational and deadline management skills
  • Analytical, detail-oriented, and able to comfortably multi-task
