Summary:

This position will assist in day to day operations for an established but fast-growing marketing firm, acting as the face of the Marketing team. This person will support multiple calendars and communicate with internal and external departments and teams. The ideal candidate will have 1-2 years administrative assistant experience/internships. The candidate will also possess strong interpersonal skills; excellent attention to detail; and strong oral and written communication skills.

Responsibilities:

  • Manage the intake of all incoming phone calls and route them accordingly
  • Act as the front desk coordinator, greeting and escorting visitors, providing excellent customer service as needed
  • Manage multiple calendars of a fast paced and dynamic team of marketing professionals, coordinating and prioritizing their schedules to ensure efficiency
  • Assist the team with preparation of meeting materials, including the creation/modification of presentations as needed
  • Coordinates travel arrangements and manage expense reports
  • Assist in the set up and coordination of meetings (A/V, room scheduling, etc.), ordering supplies, and greeting visitors
  • Acts as a liaison providing smooth communication between the team and other departments
  • Ability to complete projects efficiently, and proactively follow up to ensure deadlines are met
  • Assist in the planning of events, including coordinating the agenda, preparing any materials, ordering supplies and handling logistics

Knowledge and Skills:

  • Bachelor’s Degree required
  • 1-2 years related experience as an administrative assistant or similar experience from internships
  • Ability to multi-task and support multiple individuals within a fast-moving organization
  • Thorough knowledge of Microsoft Office (Outlook, MS Excel, Word and PowerPoint)
  • Quick learner with an intuitive mindset, excellent problem-solving skills and are able to stay a step ahead at all times.
  • Ability to handle and complete ad-hoc projects as assigned
  • Must have excellent communication and interpersonal skills including presentation preparation, letter writing and excellent telephone manner
  • Must be able to work effectively with the minimum of supervision
  • Ability to plan and manage a complex schedules several months ahead of time
  • Ability to thrive in a dynamic, fast-paced, deadline-driven environment
