About the Company:

Our client is a private investment firm that focuses on global real estate, is seeking an Office Manager and Administrator for its Chicago office.

 

Responsibilities:

  • Welcome visitors and direct them appropriately
  • Answer, screen, and forward any incoming phone calls while providing basic information when needed
  • Maintain security by following procedures and controlling access
  • Manage and update conference room reservations within Outlook
  • Manage work orders with building management company for repairs as needed
  • Maintenance and management of calendars for several executives utilizing Microsoft Outlook
  • Working with AmEx travel desk, arrange all travel for executives including flights, hotels, car rentals & services
  • Possess strong skills in Concur for expense report processing, ensuring compliance with the T&E Policy
  • Coordination of internal and external meetings to include room reservation, dial in conference call numbers, equipment set-up, catering, and all meeting agendas & materials

 

Requirements:

  • 3+ years of experience
  • Prior experience within private equity or financial services is preferred
  • Notary license required, or willing to obtain notary license
  • Proficiency in Microsoft Office
  • Must be able to handle confidential information with the appropriate level of discretion
