Operations Coordinator

About the Company:

Our client is a leading independent investment bank providing dynamic advisory services through all phases of the business cycle. They are hiring a Coordinator to support the Management and Operations team.

 

Responsibilities:

  • Regularly review calendar, re-evaluate priorities, modify previously scheduled meetings, and demonstrate sound judgment when coordinating schedules in different time zones
  • Coordinate with internal, cross-departmental teams, and external parties for conference calls and meeting requests
  • Serve as the gatekeeper for incoming calls; be adept at screening and identifying sales calls
  • Prepare and submit monthly expenses through Concur and monitor corporate card payment
  • Be well versed with the firm’s travel & expenses guidelines; serve as a point of contact for admins on T&E related questions
  • Proactively organize meeting materials for meetings/calls and provide summary notes
  • Order office supplies, business cards, and ad hoc items

 

Requirements:

  • Bachelor’s degree preferred
  • 3-5 years of relevant experience
  • Knowledge of Corporate Services and Facilities functions
  • Excellent communication skills both written and verbal
  • High level of proficiency in software packages
